Cancellations and Refunds Policy

It is your responsibility to know and understand these registration related policies upon registering for a program.

Standard Policies

Early Cancellations: Cancellations submitted in writing to the executive director 14 or more days before the start of the program will get a refund of the registration fee minus a $50 administration fee.

Late Cancellations: Cancellations submitted in writing less than 14 days before the start of the program are considered late cancellations. Registration fees may only be partially credited. No refunds. The amount credited for late cancellations may vary at the discretion of the executive director depending on the circumstances of the cancellation. Typically, credit amounts for late cancellations will not exceed 50% of the registration fee. Credits will be honored for one year, pending program availability/capacity at that time which is not guaranteed, and then they expire. Cancellation submissions are not accepted after the start of the program, with the exception of the stated policies below.

Injuries or Illness or Exceptional Circumstances: Prorated credits will be considered in the event of injury or severe illness or exceptional circumstances. Athletes must miss more than 50% of the practices and parents must inform the executive director of diagnosis/prognosis immediately. No refunds. Credits will be honored for one year, pending program availability/capacity at that time which is not guaranteed, and then they expire.

No Shows: Registration fees are non-refundable and non-transferable for any no-shows to a program.

Bad Weather: Per our Weather & Environmental Conditions Policy, practices may be cancelled due to extreme weather and environmental conditions that are deemed unsafe for athletes & coaches. This can include lightning, smoke/air quality or otherwise per our policies. We do practice in the rain, wind and even snow-and it is important that athletes are prepared and equipped to do so. When trails are too muddy to ride, we ride on hard-surfaces and otherwise. For those practices that must be cancelled for safety or other reasons, no refunds or make up days are provided unless otherwise specified in the program details.

Program Alterations or Cancellations: Circumstances beyond the control the Organization may necessitate the substitutions, alterations, or even cancellation of a program. In the event that a program must be altered or cancelled, credits or refunds may be issued at the discretion of the executive director, depending on the circumstances of the cancellation.
